Before you call, jot down who you're calling, the one thing you need, and your opening line. Have your info handy, take a breath, and remember the person on the other end does this all day. Most dreaded calls are over in two minutes.
The 30-second prep
- Write your goal in one sentence: what do you need to happen?
- Jot an opening line so you don't freeze: “Hi, I'm calling to…”
- Have account numbers, dates, or info in front of you.
- Have a pen ready for names, confirmation numbers, and next steps.
Steal these openers
- Appointment: “Hi, I'd like to schedule a new-patient appointment. What do you have available?”
- A problem/bill: “Hi, I have a question about a charge on my account — can you help me sort it out?”
- Following up: “Hi, I'm following up on my application from last week and wanted to check on the status.”
The person answering has taken this exact call a thousand times. You will not surprise them, and you will not be the worst call of their day. Breathe, and just start.
Common questions
What if I get flustered mid-call?
It's fine to say “Sorry, let me start over.” And it's fine to ask them to slow down or repeat something. Nobody's grading you.
Can't I just email or use the app?
Often, yes — and you should when you can. But some things move faster with one quick call, so it's worth being able to make one.
